Document control is an engineering discipline, not a feature

Document control decides whether a drawing set can be trusted — or quietly abandoned.

Every platform now offers to store your drawings and documents. Very few organizations can still find the right revision six months later. The gap is not storage — it is document control.

What document control covers

Numbering and naming that stay consistent across projects and disciplines. Metadata that ties every drawing, CAD file and BIM deliverable to its project, revision and status — and access rules that respect who is allowed to read what. Revision discipline: a register that keeps draft, issued and superseded versions apart. Contradiction handling: what happens when a drawing and a specification disagree. Traceability: so a reviewer can verify which revision an answer came from.

The honesty requirement

A controlled document system also needs the ability to say "not found." Sets that always produce an answer are not reliable — they are confident, which is worse. Escalation to a person, with context attached, is a feature, not an admission.

Control and search are distinct

Search quality and revision control are different variables. Test them separately, fix them separately, and monitor them separately. Most document failures are control failures wearing a search costume.
